Buying PillarScan as a public entity

PillarScan is built to be bought the way public entities buy. Most $99–$599 purchases fall under your informal-quote threshold and can be approved by a department head on a P-card or a simple PO.

Documents we provide on request (same business day)

  • W-9 (US taxpayer identification).
  • Invoice with PO number, net 30, payable by check or ACH. Comply and Fix plans only; use the invoice request form.
  • Vendor registration: we complete your vendor packet, supplier portal entry or new-vendor form.
  • Certificate of insurance (general and cyber liability) where your policy requires it.
  • Sole-source / under-threshold justification letter: a one-page memo you can attach to the requisition explaining what the service does, why it is independent of your website vendor, and that the annual cost is below your competitive-quote threshold.
  • Board or council memo template: one page with the grade, the deadline that applies to you and the recommended plan.

Data and privacy statement

  • PillarScan loads only public pages of websites you ask us to scan. It never logs in, submits forms, or installs anything on your site or servers.
  • We do not collect, process or store student data, resident data or any personally identifiable information from your website. The only personal data we hold is your staff's account details (name, work email).
  • Data is hosted on Cloudflare's network in the United States, encrypted in transit and at rest. See the privacy policy.
  • No student-data privacy agreement is required because no student data is involved; we are happy to sign your standard vendor data agreement if your policy requires one.

Cooperative contracts

We are not yet listed on a purchasing cooperative. If your policy requires one, tell us which (TIPS, Sourcewell, BuyBoard, OMNIA, a state contract) and we will prioritise it.
